Free License - Manage Users

The Users tab provides a view-only display of all users who have access to Account Reconciliation.

To view users:

  1. Navigate to the Administration module.

  2. Click the Users tab.

    The Users tab displays all users created in the insightsoftware platform who have been granted access to Account Reconciliation.

  3. Use the Refresh button to update the user list and see recently added users.

    Wait for the sync process to complete. Newly added or updated users from the platform now appear in the list.

  4. Use the Search bar to quickly locate specific accounts by entering name or email.

  5. Use the filter option to display users by role:

    • Select All to view all users.

    • Select Admin to view active users with admin access.

    • Select Designer to view users with designer access

    • Select Power Users to view users with Power User access. [v26.1] 

    • Select Viewers to view users with Viewer access. [v26.1] 

  6. Review the user information in the table:

    Full name of the user

    Email

    Email address of the user

    Role

    Role assigned to the user (Administrator or Designer)

    Note: The Users tab is view-only. User creation and permission management are handled through the insightsoftware platform administration. You cannot add, edit, or remove users directly from this interface.

User Types Overview [v26.1] 

Account Reconciliation uses different user types with distinct permission levels, providing appropriate access controls based on user responsibilities.

Role

Description

Admin

Full access to all modules, settings, and actions. Can manage users, accounts, integrations, checklist templates, and perform all reconciliation actions.

Designer

Can design and manage checklist templates. Has access to reconciliation modules and standard user actions. Cannot access administration settings.

Power User

Can perform reconciliation actions including prepare, upload, match, submit for review, and approve. Can complete checklist tasks and upload attachments. Cannot access checklist template design or administration settings.

Viewer

Can view all pages, reconciliation details, dashboards, reports, and checklists. Cannot perform any actions such as add, edit, delete, upload, match, approve, or submit.

Note: When a user logs in, the application displays their role in the header. If a user has both Administrator and Designer roles assigned, only Administrator is displayed as it is the higher-level role.

Note: Viewer users are excluded from assignee selection dropdowns. When assigning Preparers, Reviewers, or Approvers to accounts, Viewer users do not appear in the selection lists.

Assigning User Types

User types are assigned through the insightsoftware platform administration. When users are granted access to Account Reconciliation, administrators specify the appropriate user type based on the user's role and responsibilities.

The following table summarizes the permissions for each user type:

Note: Manage Integrations is not included in the Free License permissions table because ERP integrations are not available for Free License accounts.

Note: Role-based access control is enforced at both the UI level and the API level. Unauthorized features are hidden from the interface and blocked at the API.
